What is AI Text?
AI Text is your automated messaging assistant that handles text-based follow-up with leads around the clock. Think of it as having a dedicated team member whose only job is to start conversations, keep them going, and let you know when someone is ready to talk to a real person.
AI Text works across your entire lead database—from brand new registrations to leads who went quiet months ago. It adapts its approach based on where each lead is in their journey and how they're engaging.
The Types of AI Text Messaging
AI Text operates through distinct messaging strategies, each designed for different lead situations and behaviors:
Proactive AI Texting
When you receive a new lead, AI Text immediately springs into action with a text sent within 5 minutes. It's the beginning of a drip designed to build rapport and identify interest. Messages are spaced strategically to maintain interest without overwhelming the lead.
Proactive AI Text will also text older, cold leads (from eligible sources) that haven't shown recent activity to try and re-engage them. This is referred to as Database Texting.
Behavioral Texting
Behavioral texting triggers when leads take specific actions on your website or show engagement signals. For instance, if someone views multiple properties, requests a market report, or spends significant time browsing, AI Text reacts by sending a relevant text about their activity.
Responsive AI Texting
When a lead responds to any AI Text message, the system shifts into conversation mode. This is where AI Text becomes truly interactive, asking follow-up questions and working to understand the lead's needs and timeline.
AI Text asks qualifying questions to understand budget, preferred areas, and timing. When the conversation reaches a point where human expertise is needed, AI Text tags the lead for agent follow-up (AI_NEEDS_FOLLOW_UP or AI_ENGAGED).
AI Text Tags: How the System Tells You Who's Ready
AI Text uses a tagging system to help you prioritize your daily actions. Think of these tags as AI Text's way of saying "Here's what this lead needs from you right now."
AI_NEEDS_FOLLOW_UP
This tag identifies leads who are having real conversations with AI Text and showing genuine interest. They might be sharing timeline information, asking specific questions about properties, or expressing readiness to take next steps. These leads should be contacted the same day, ideally within 4-6 hours.
AI_ENGAGED
These leads are responding to AI Text and showing intent in buying/selling, defined by if they meet any of the following:
- Requests for more information about a topic, listing, report, etc
- Provides information about their search (e.g. search preferences)
- Indicates future buy/sell intent
AI_RESPONDED
This tag is added to anyone who responded to AI Text that's not an opt out or explicit not interested. This tag may be used if you want to filter your leads that interacted with AI Text but didn't give strong signals. This tag will not trigger a Y_AI_PRIORITY tag.
AI_OPT_OUT and AI_NOT_INTERESTED
These tags indicate leads who have opted out of messaging or expressed they're not interested. AI Text automatically stops contacting these leads, and your team should respect these preferences as well.

A Lead’s First Month with AI Texting
The Goal: Get your prospect to respond and find out what they are interested in and their readiness to buy or sell.
The Strategy: We send a sequence of text messages that combine carefully crafted best practice scripts with relevant home listings or market trends data.
If you are in a tag-based CRM like Follow up Boss (the tags will apply to you):

10% of the leads will be ready for Agent Follow-Up - Agents should call the lead right away and take over the conversation. (Tag: AI_NEEDS_FOLLOW_UP).
20% of the leads are Engaging - Monitor closely and call to introduce yourself. (Tag: AI_ENGAGED)
20% of the leads are Not Interested - We just saved you time (and automatically enrolled leads in bad number recapture and remarketing) (Tag: AI_NOT_INTERESTED)
50% No Response Yet - We will continue to engage them on your behalf in the months ahead.
Month 2-12+ with AI Texting
The Goal: Stay top of mind with your prospect in a way that keeps them engaged - with content that shows your value but isn’t pushy.
The Strategy: Every prospect will be proactively texted a minimum of two times per month, and the messages we send will be a composite of proactive, responsive and behavioral texting.

Are There Lead Sources Are Ineligible for AI Texting?
Leads that you don’t have express opt-in to text including FSBO, Expired, local prospecting, and scraped leads. They must first complete the registration through your home search site.
For Database Leads to be Texted:
- They must be imported in Ylopo Stars
- Must be in an eligible texting stage like "Lead" or "Nurture"
- They will need to visit the home search site first to be texted via behavioral texts (this way we know how to engage them)
- When they respond to the behavioral text, the responsive AI texting will continue the conversation
- For Ylopo leads and leads from other eligible sources leads: If they don't not reply to the behavioral text we send, a follow-up re-engagement drip text starts
Customization Options with AI Texting:
1. You can update the AI’s persona/identity.

The text can come from the persona's assistant. Typically, the persona will be the lead's assigned agent in your CRM.
- Example: "Hi, this is John Smith’s assistant from the XYZ Real Estate Team".
- You'll need to provide a persona if you are not using the following CRMs: Follow Up Boss, LionDesk, Firepoint, Lofty, Sierra, or Zoho.

The persona should be different from the company name since both will be mentioned in the text.
- Example: “Hi this is XYZ Real Estate Team’s assistant from XYZ Company name”.
2. You can choose the name of the AI Text Assistant.
- You will choose the name of your AI Text assistant. Note that AI Text assistant will not provide their name unless asked.
3. You can decide which lead sources the AI Text will engage.
- For example, Ylopo-generated, Zillow, Realtor.com, etc.
4. You can decide on the AI’s response if the lead wants to rent instead of buy.
- If you do work with renters please let us know so the AI can let them know.
- Otherwise, the AI will respond by saying that you do not work with renters.
5. You can change your default quiet hours.
- Currently, these hours are from 8 pm to 8 am in your time zone.
6. Holiday Schedule - Please let us know if there are any holidays or specific dates you do NOT want text automation to be active.
7. If you want to blacklist CRM stages or agents from text engagement, please notify your Client Success Manager. This is available for the following CRMs: Follow Up Boss, Liondesk, Firepoint, Sierra, Lofty, and Zoho
Follow Up Boss clients have typically excluded the following standard stages:
- Hot Prospect (or Hot), Current Client, Pending, Closed, Past Client.
8. Agents assigned to leads in your CRM will need to be opted in or out of AI Texting.
Frequently Asked Questions:
Q: How can the agent take over the conversation?
A: You can reply to the lead within the Stars Lead Detail page (learn more about Agent Texting here). You can also reply through the FUB Inbox App.
Q: Can we change the schedule or frequency of the drip texts for AI Text?
A: No, the schedule is fixed and applies to all clients, so we cannot change it.
Q: Can we change the verbiage of the AI Texts or the drips?
No, however, we would love to hear your feedback on the language used! Please email support@ylopo.com with the specified email address of the lead and the conversation so we can investigate conversations that may have misaligned intent or appear to be incorrect.
Q: How do I opt a specific lead out of all AI Texting?
Go to the Stars lead detail page. You can manage AI texting by clicking "Pause" and "Stop".
You can also tag the lead with NO_TEXT in your CRM.
Q: What Lead Filtration Should I Use?
A: Our recommendation for lead filtration when using AI Texting is to set it to “No Filtration” so the AI can qualify and engage all leads.
Q: Tags - How do I identify which leads I should be reaching out to in my CRM?
A: AI_NEEDS_FOLLOW_UP -The lead has replied with interest and is ready to be engaged by a live team member. We recommend reviewing each AI Text conversation to determine the best course of action for the lead. That is if it's best to engage by taking over the text, call, or allowing your AI texting assistant to continue nurturing the lead.
AI_ENGAGED - The lead has not yet responded to engagement. Excellent opportunity to call and introduce yourself to the lead.
AI_NOT_INTERESTED - No action needed. The lead has replied negatively to the text and is automatically opted out of further communication. A best practice is engaging with these leads with a follow-up phone call. Just because the lead prefers not to communicate through texts does not mean they do not want to continue with their home search.
